Guidelines for Camera-ready Paper

The guidelines below are for papers that have been accepted, or accepted subject to revisions, following peer review.

  1. Reinstate any information previously removed for blind review.
    This includes:
    • Author names, affiliations and email addresses;
    • Citations of and references to the authors' own publications;
    • Any identifiers appearing within figures that were obscured to conceal the identity of the author(s) and/or their institution(s);
    • Funding sources and other acknowledgments.
  2. Ensure the paper has been prepared in accordance with IEEE and IEIR 2025 style guidelines.

    If your review submission already used the MS-Word template, you may re-download it for reference only. Where there are conflicts between the IEEE Citation Reference and the paper template, the paper template prevails.

    Important If the paper is not formatted correctly, it may be rejected by IEEE during Xplore upload. Please use IEEE PDF eXpress to check compatibility. The conference ID for eXpress is shown in your acceptance letter.
  3. Submit the IEEE Copyright Form (eCF).
    The link to eCF is accessible on CMT in the Camera Ready submission tab.

    IMPORTANT

    • Use of any other IEEE templates is not acceptable as there are subtle differences that affect consistency of the proceedings.
    • Do not change the paper size (A4) or margins in the template.
    • Headers and footers are empty (no page numbers, etc.), except for the first-page footer which contains the ISBN and copyright label. (Different labels apply for US Government, Crown Government, or EU employees.)
    • Updated copyright notices (2025):
      • For papers in which all authors are employed by the US government, the copyright notice is: U.S. Government work not protected by U.S. copyright
      • For papers in which all authors are employed by a Crown government (UK, Canada, and Australia), the copyright notice is: 979-8-3315-7109-2/25/$31.00 ©2025 Crown
      • For papers in which all authors are employed by the European Union, the copyright notice is: 979-8-3315-7109-2/25/$31.00 ©2025 European Union
      • For all other papers the copyright notice is: 979-8-3315-7109-2/25/$31.00 ©2025 IEEE
    • Formatting must use the predefined MS-Word styles in the template (do not change fonts/sizes manually).

    Page lengths:

    • Full paper: 6–8 pages
    • Short paper: 4–6 pages
  4. Complete the final submission checklist.

    On page 1, work through each checklist item and ensure it has been met. On page 2, complete the table showing how you addressed issues/concerns raised in the reviews.

  5. Upload the final submission.
    The final submission (source files and PDF) plus the completed checklist must be uploaded to CMT. Submissions cannot be accepted via email.

    IMPORTANT

    • Within CMT, you will be required to sign an electronic copyright form. If you fail to do this, your paper cannot be published in the proceedings or on IEEE Xplore.
    • If any authors are employees of the US Government or a Crown government (UK, Canada, Australia), indicate this in the “Remarks” field with details.
    • Ensure the title, abstract and keywords in the CMT web form exactly match your final paper (copy-paste from Word). Discrepancies can cause issues when submitting to IEEE Xplore.

Below are two examples of papers that fully comply with the IEIR 2025 formatting rules. Authors are encouraged to refer to this example before submission to ensure proper layout and citation style.
